How to export your guest list to CSV

Tim Datella3 minWorks on the free plan

A Datella export copies what you are looking at: the ceremony tab, the status filters, and the search box all shape the file. Set the screen first, then one tap produces a CSV that Excel opens cleanly.

Prerequisites

  • An event with at least one guest
  • The owner, or a helper with read access to the guest list
  1. Set up what you want carried over

This is the part that matters most: the export copies the active view. If you are on the reception tab with an "Attending" filter, the file holds only attending reception guests. Want the full list? Clear the filters and the search box first, then export.

Set up what you want carried over
  2. Tap "Export CSV"

Datella first loads the entire list, including rows you never scrolled to, then builds a file named like rsvps-event-name-date.csv. On Android the file lands in the share sheet to save or forward; in the browser it downloads directly. The file is an outgoing copy; whatever happens to it, the guest list in the app stays safe.

  3. Get to know the columns

Beyond name, phone, email, and category, you get the Status written out in words rather than codes (Attending, Declined, Pending, Waitlisted), invited and attending counts, the family member list, notes, check-in and check-out times, when last reminded, and one "Diundang ke: <ceremony>" (invited to) column per special ceremony holding true or false.

  4. Put it to real work

The three most common uses: count catering portions from the attending column, print a name list for envelopes or thank-you notes from names and family members, or hand it to the seating team as raw material. The columns are complete; sorting is up to you.

Common questions

Why does my file only hold some of the guests?

Because the export follows the screen. The active ceremony tab, status filters, and the search box all narrow the output. Clear them all first for the complete list.

What format do phone numbers come out in?

A plain digit string without a plus sign, 6281234567890 for instance. Excel sometimes renders it as a plain number; select the column, right-click, choose Format Cells, then Text, and the digits stay put.

Can I export straight to Excel or PDF?

CSV only, by design, so the file opens anywhere. Excel and Google Sheets open it directly with a double click or an import.

How is this different from the door list?

The CSV export carries all data following your screen filters, for further processing. The door list is a print-ready A4 document per ceremony to carry to the venue, no processing needed.
